The Academic Travel Specialist provides general program support to BGSU faculty and staff planning credit-bearing domestic travel for undergraduate and graduate students.  The individual in this position will provide guidance to faculty and departments throughout the study away program proposal application and college approval process to include: faculty and student registration in an electronic database and BGSU Travel Registry, budget development, logistics, vetting of contracts and agreement, adherence to BGSU Student Travel Policy, and marketing.  Responsibilities will also include maintenance of BGSU’s domestic travel and risk management policies as well as assistance to International Programs and Partnerships leadership in case of emergencies for the duration of the program.

  • Meet with faculty to discuss logistics, vetting of eventual contracts and agreements, budget development, and risk management policies for domestic study away credit-bearing programs.
  • Oversees the submission and approval of domestic study away proposals in TerraDotta (electronic database).
  • Oversees the registration of students enrolled in domestic study away programs in TerraDotta or in BGSU’s Travel Registry.
  • Monitors programs to ensure BGSU’s Domestic Student Travel policies are followed throughout the duration of the program
  • Communicates with BGSU administrative offices to provide assistance to faculty in the proposal planning process (e.g., Bursar, Controller’s office, Risk Management, Purchasing, Registration and Records, etc.)
  • Acts as liaison with Marketing and Communication for the development of marketing pieces for programs.
  • Assists International Programs and Partnerships leadership in the management of travel and health emergency situations 
  • Provide logistical support in the planning of alumni travel.

Minimum Qualifications

Bachelor’s degree from an accredited institution in the areas of education/event planning or related field(s) required.  Successful candidate must have Bachelor’s degree conferred at the time of application. 



The following experience is required:

  • At least one year experience event planning/project management in a higher education setting (preferably working directly with faculty in an event planning capacity).


Salary

Full-time, Administrative staff position available. Administrative Grade Level 351. Salary is commensurate with education and experience. Full benefit package available.
