Student Employment Coordinator

Under general supervision of the Director of Student Employment, performs daily processes for campus & community outreach and operations required for the job development, recruitment, selection, and maintenance of student employee and related fiscal records. Prepares and processes information and documentation for use in PeopleSoft Human Capital Management (HCM) system, responds to questions from prospective and current students, departments, and other support offices/personnel; develops and runs reports, creates documentation and training materials; trains University staff on employment policies, procedures, and practices; keeps current on developments in the field; oversees the daily operations of Student Employment Services, as needed; and acts in the absence of the Director as requested.


Unit Operations and University Support

  • Supports daily operations of Student Employment Services; participates in unit and other operational meetings and events and short and long term planning; assists with daily operations and customer service needs; collaborates with University constituents to ensure quality employment-related services (Graduate Student Orientation and other programs); meets with students; represents the unit and division at meetings and on projects; attends training and professional development opportunities; serves in the absence of the director, when requested.
  • Coordinates staff assignments for University recruiting/informational events and programs (e.g., Preview Day, Presidents' Day, Orientation and Registration).
  • Collaborates with University constituents to ensure quality employment-related services, represents the unit and division at meetings and on projects.
  • Conducts on-site visits to employers to promote Student Employment Services programs and services. Coordinates campus arrangements (e.g., facilities use, audio-visual equipment) for employers who want to use campus facilities to engage students and promote their organizations.

Fiscal Oversight

  • Supports/facilitates Student Employment’s reconciliation of operating and scholarship budgets. Designs management reports to audit daily processing and productivity; identify errors; ensures data integrity; analyzes and evaluates financial information.
  • Develops and executes procedures to improve efficiencies and internal operating controls. Recommends changes to policies and business practices when appropriate to ensure the optimum/efficient use of resources.
  • In collaboration with Student Financial Aid, oversees eligibility certification and performs student earnings reconciliation process for more than 500 Federal Work-Study students annually.

Records Management

  • Provides oversight for in-house job posting web application that houses over 700 job descriptions in 200+ on-campus departments (e.g., wage rates, job hierarchies, job details, and HCM system codes). Responsible for maintaining CRM information regarding part-time/seasonal jobs, including posting and deactivation of job vacancies to meet student search criteria and job availability.
  • Conducts and processes student employee job audits and make recommendations for wage rates  and job titles based on knowledge of internal and external part-time and seasonal job markets; interviews and corresponds with employers to gather additional information or seek clarification of submitted job information; prepares and updates job descriptions.
  • Develops and updates business process for student employee background check initiation and retention.

System Development, Maintenance and Testing

  • Leads the ongoing development, maintenance, and testing of E-Hire, Job Posting Web Application, the graduate assistant contracting system (in collaboration with the Graduate College) and other University systems when necessary.
  • Researches new technologies and methods and identifies challenges and well as alternatives to improve system efficiency and operations. Recommends changes in business practice to implement and reflect University and Student Employment policies to ensure compliance.
  • Makes recommendations for improving efficiency and functionality of systems and systems support. Participates in the design, development and/or customization of systems developed internally; gathers and analyzes data; assembles data and materials for testing and investigation of programs and multi-level databases and their relationship with designated systems in development, testing, and implementation stages.
  • Designs and updates training, documents, and communication materials related to the student employment. Develops job aids and handbook materials for SES unit and department users.



Minimum Qualifications:

Bachelor's degree in Business Management, Human Resources, Public Administration, or related field.    Successful candidate must have degree conferred at the time of application.    

The following experience is required:

  • 1 year event planning
  • 1 year supervisory experience


Full-time, Administrative staff position available. Administrative Grade Level 354. Salary is commensurate with education and experience. Full benefit package available.
